VE Witness List walk through

This article applies to VE only (Not OLGR or BDR)

If a Police officer contacts us to request data we must refer them to the venue.

Walk through

1. Police collaborate with the venue to gain access to the data. Refer to this pubic knowledge base article for instructions for venue managers. 

2. Venue managers are to either download the encrypted Zip file and send to Police or forward the email containing the link to the Police officer. 

** The venue managers can also add any @police email to the 'Official Email Cc' box when exporting and we will email the link to the police officer directly in addition to the venue manager.

Background: There is a ZIP file downloaded which is not encrypted, this ZIP file contains an encrypted ZIP file as well as some supporting files including key.txt, README.pdf. The PII is in the second PDF.

3. In the ZIP folder is a PDF document named README.pdf which contains instructions to decrypt the witness list. As instructions vary slightly from version to version of witness list this should always be referred to as the source of truth.

4. Refer to this private knowledge base article for instructions to retrieve the decryption key. 

Troubleshooting

• Email doesn't arrive
  For high capacity venues exporting long periods of data they may need to break down the exports. We've found a limit of about 1500 scans per export. We have a ticket in the pipeline to fix this. 
• Police can't decrypt
  Windows ZIP archive extractor is a bit funny and sometimes doesn't work. Try 7Zip, Winzip or similar program.
